PropNest is a Dubai-based property consultancy specialising in off-plan and secondary market residential sales across Dubai's premium developments. With high volumes of inbound leads from Google Ads and Meta campaigns, they needed a centralised system to capture, assign, and track every enquiry through to conversion. The Challenge

Turning Leads into Closed Deals

PropNest was generating a high volume of leads through paid campaigns but losing a significant percentage to slow response times and unstructured follow-up. Leads were arriving via multiple channels — Google Ads, Meta, WhatsApp, landing pages — and being tracked in spreadsheets. Agents had no visibility into which leads were hot, which had been contacted, or where deals stood in the pipeline.

In Dubai's competitive real estate market, speed and consistency of follow-up are everything. A lead left uncontacted for more than 30 minutes dramatically reduces conversion probability. PropNest needed a system that captured every lead instantly, assigned it to the right agent automatically, and provided full pipeline visibility for management — all in real time.

Lead Management System

We built a centralised Lead Management System that ingests leads automatically from all sources — Google Ads, Meta lead forms, landing page submissions, and direct WhatsApp messages. Each lead is timestamped, tagged by source and property interest, and assigned to the appropriate agent based on configurable routing rules. Agents receive an instant WhatsApp notification and are expected to make first contact within minutes of lead capture — a system designed to maximise conversion at the point of maximum interest.

Custom CRM Platform

The CRM built around the LMS gives PropNest's management team full pipeline visibility — tracking every lead through stages from initial enquiry to site visit, offer, negotiation, and closed deal. Agents can log call notes, schedule follow-ups, attach documents, and update deal status in real time. Management dashboards show agent performance metrics, pipeline value by stage, source attribution, and conversion rates — enabling data-driven decisions about ad spend and team performance.

Landing Pages & Ad Integration

We designed and built a suite of high-converting landing pages — each dedicated to a specific property development and campaign — with clear value propositions, project highlights, floor plan previews, and single-purpose enquiry forms. All landing pages were directly integrated with the LMS so that every form submission flows instantly into the pipeline. Google Ads and Meta lead form extensions were configured to push directly to the CRM with zero manual data entry.
