SwiftLog is a UAE-based freight and logistics company operating a fleet of 48 vehicles across Dubai, Abu Dhabi, and Sharjah. Managing shipments, drivers, customers, and billing across spreadsheets had become unmanageable at scale. Matscop Technical designed and built a comprehensive logistics ERP system that unified their entire operations — from shipment creation and driver assignment to real-time tracking, customer delivery confirmations, and automated invoicing.

Replacing Spreadsheet Chaos with Operational Control
As SwiftLog grew from a small operator to a 48-vehicle fleet, their operational complexity outgrew every manual system they had in place. Dispatch coordinators were managing driver assignments by phone and WhatsApp. Shipment status updates were manually tracked in spreadsheets. Invoices were created one by one in Word documents. And customers had no way to track their own deliveries without calling in.
This operational fragmentation was causing missed deliveries, billing errors, delayed invoicing, and poor customer experiences — directly impacting contract renewals and growth. The solution needed to centralise everything while remaining fast and accessible on mobile for drivers and field teams.
What We Delivered
Logistics ERP Core
We architected and built the central ERP system — a web application that manages the full shipment lifecycle from order creation to delivery confirmation. Operations staff can create shipments, assign pickup and delivery windows, attach documentation, and track status in real time through a centralised dashboard. The system maintains a complete audit trail for every shipment and provides management reporting on volumes, on-time delivery rates, and operational efficiency metrics.
Fleet Management & Driver Assignment
The fleet management module gives dispatch teams full visibility over all 48 vehicles — showing real-time location, driver status, current assignment, and vehicle availability. Dispatch coordinators can assign shipments to available drivers with a single click, and drivers receive their job details instantly on mobile. The system tracks driver working hours, vehicle maintenance schedules, and delivery completion rates — replacing the chaotic WhatsApp-based coordination that preceded it.
Customer Portal & Automated Billing
We built a self-service customer portal allowing SwiftLog's clients to place shipment requests, track deliveries in real time, access their full delivery history, and download invoices — eliminating the constant inbound calls that were burdening the operations team. Invoicing was fully automated: the system generates accurate invoices immediately upon delivery confirmation, calculates charges based on pre-configured rate cards, and sends them directly to the client's billing contact — reducing payment cycles significantly.
